Business travel to Georgia: conferences, incentives, venues and the rules

Georgia works well for conferences and incentive travel because the logistics are short and the setting is distinctive: Tbilisi is a 2.5 to 4-hour flight from most European hubs, hotels with purpose-built meeting space exist at both ends of the country, and a one-day excursion can move a group from a boardroom to a vineyard or a mountain pass in well under two hours. For most Western, Gulf and many Asian passport holders, entry is visa-free or covered by the e-visa system, so a short-notice event is realistic to plan.

This guide sets out the practical rules as they stand on 29 October 2026: visas and invitation letters, getting in and around, venues in Tbilisi and Batumi, incentive formats built around wine and mountains, and indicative budgets using G Tour’s published group rates. Government rules on visas, roads and transport can change without much notice, so each section links to the official page to check before you commit dates.

Why businesses choose Georgia for conferences and incentives

Three things recur in client briefs: cost relative to Western Europe, a genuinely different incentive backdrop (Kakheti wine estates, the Caucasus high passes, the Black Sea coast), and short internal distances. A delegate can land at Tbilisi International Airport in the morning, sit through a full working day, and be tasting Saperavi in a Kakheti cellar by evening. Batumi adds a seaside alternative with its own airport and a compact old town suited to smaller incentive groups.

Georgia’s standing as an ease-of-doing-business location and its growing conference infrastructure are documented by national statistics and tourism bodies; for current visitor and MICE figures see Geostat and the national tourism administration’s pages at georgia.travel. Neither source should be read as a venue directory, but both are useful for citing Georgia’s tourism growth in an internal business case.

Visas, invitations and paperwork

Many nationalities, including EU, UK, US, Gulf and a long list of others, can enter Georgia visa-free for stays of up to one year, which covers almost any conference or incentive trip. Passport holders who do need a visa generally apply through the government’s e-visa portal, and the process can require a letter of invitation from the Georgian host organisation or event venue; processing times and the exact list of visa-free countries are updated periodically, so check your own passport against the current list before booking flights.

• Official visa rules and the current visa-free country list: evisa.gov.ge
• Ministry of Foreign Affairs guidance on invitation letters and consular matters: mfa.gov.ge
• General entry and travel information for Georgia: gov.ge

If your delegates include passport holders from a country that is not on the visa-free list, build in at least two to three weeks for the e-visa application and ask the Georgian host or conference venue to issue the invitation letter early. G Tour can draft the invitation letter and itinerary attachment that many e-visa applications ask for, as part of a conference booking; this is not a substitute for legal or consular advice, and applicants should always confirm their own requirements directly on evisa.gov.ge.

Getting there and moving between Tbilisi and Batumi

Tbilisi International Airport handles the majority of international business arrivals; Kutaisi International Airport carries a growing share of low-cost European routes and is a practical gateway if your programme includes western Georgia or Svaneti; Batumi International Airport has seasonal and regional connections and suits coastal incentive groups directly. Check current schedules before fixing event dates, since winter frequencies drop on some routes.

Between cities, the fastest option for a delegation is a private transfer; the overnight or daytime train between Tbilisi and Batumi is a comfortable alternative for groups who want to see the countryside, timetables and tickets are published by Georgian Railway at railway.ge. Road conditions on mountain routes such as the Georgian Military Highway (used for Kazbegi incentives) can close in winter weather; check georoad.gov.ge before scheduling a mountain excursion in December to March.

G Tour runs fixed-price transfers rather than metered taxis for conference groups: a private sedan between Tbilisi airport and the city centre is €45 one way (minivan €58), Batumi airport to Batumi or Kobuleti is €40, and Tbilisi to Batumi by private car is €220 by sedan or €270 by minivan. These are quoted per car, with flight tracking and 60 minutes of free waiting included, so there is no risk from a delayed inbound flight. See Tbilisi Airport Transfer — Sedan or Minivan, Meet and Greet and Batumi Airport Transfer — Sedan or Minivan for the retail versions of these routes.

Conference venues and meeting hotels

Tbilisi’s main business hotels carry their own meeting and ballroom space and are the default choice for conferences of 50 to 400 delegates; international chains with conference floors operate in the city centre and near Freedom Square, and several newer hotels in the Old Town and Vake districts offer smaller boardrooms for 10 to 40 people. Batumi’s seafront hotels, several of them part of international groups, hold meeting rooms and larger function space aimed at the summer conference and wedding trade, with quieter, better-value rates outside the June to September coastal season.

For a hard requirement (simultaneous interpretation booths, breakout rooms, exhibition space for over 500 people), Tbilisi has purpose-built exhibition and congress venues; for anything beyond a hotel ballroom, confirm current capacity, technical specification and availability directly with the venue, since conference halls are frequently rebooked more than a year ahead for the autumn and spring high season.

• Tbilisi: city-centre international hotels with ballrooms (50 to 400 delegates), boutique Old Town hotels for smaller boardrooms, and dedicated exhibition centres for large-format events.
• Batumi: seafront hotels with conference floors, best value and availability outside the June to September beach season.
• Kakheti and Kazbegi: smaller wine-estate and mountain-lodge meeting rooms, suited to leadership retreats of 10 to 40 people rather than full conferences.

We do not publish a fixed venue price list because rates depend on dates, room block size and food and beverage minimums; our groups-and-mice service includes a written venue search and comparison, typically delivered within three working days of a brief.

Incentive ideas: wine country, mountains and the coast

The two incentive formats that work most reliably for corporate groups in Georgia are a wine-country day in Kakheti and a mountain day on the Georgian Military Highway, both doable from Tbilisi within a working day, and both scalable from a 10-person leadership team to a 200-person conference breakout.

• Wine incentive: a private estate tasting and lunch, such as Kakheti Estates Day — Tsinandali, Shumi and a Private Tasting Lunch, or a hands-on Qvevri Masterclass — a Day with a Winemaker and a Qvevri Maker for smaller groups who want an activity rather than a tasting.
• Mountain incentive: the classic Georgian Military Highway — Ananuri, Gudauri and Gergeti in a Day run, or a Gudauri — Mountain Escape for groups who want altitude and a gondola without an overnight stay; add Gudauri Ski Package — 5 Nights with Transfers and Ski Pass for a winter incentive built around skiing.
• Coastal incentive from Batumi: Batumi Half-Day — Old Town, Boulevard and the Botanical Garden combined with a hands-on Adjarian Khachapuri Class in Batumi, or a full Adjara Highlands — Khulo, the Goderdzi Pass and the Green Lake day for groups wanting mountains and sea in the same trip.
• Evening programme: a Supra Evening — a Georgian Feast with a Tamada and Polyphonic Song works as a closing dinner for groups from 15 upward, and scales to several hundred with advance notice.

For teams who want a physical team-building element rather than sightseeing, a half-day hike such as Birtvisi Fortress Hike and Dashbashi Canyon gives a genuine outdoor challenge within 90 minutes of Tbilisi.

Budgeting your programme

G Tour prices group and MICE work per programme, confirmed in writing within three working days of a brief, but the starting points below (published on our data page) are a reasonable basis for an internal budget before that proposal arrives.

For context, the Georgian lari traded at approximately 2.894 to the euro and 2.596 to the US dollar on 28 October 2026 according to the National Bank of Georgia; rates move daily, so convert at the time of booking rather than relying on this figure for contracts.

What G Tour organises

G Tour, run from Tbilisi with a public-health professor as founder and reviewer, handles conference and incentive logistics end to end: venue shortlisting and contracting, transfers and coach hire, licensed guides in English, German, French, Russian, Italian and Hebrew, invitation-letter drafting for e-visa applicants, and incentive days built from our published wine, mountain and coastal tours rather than invented one-off packages. A typical brief runs from airport pickup through to the closing supra, with one invoice and a named on-site coordinator for the conference days themselves. See our Groups and MICE service listing and our Car with Driver by the Day and Licensed Private Guide by the Day pages for the building blocks we combine into a programme; full itineraries sit alongside our regular tours at the tours overview.

Practical summary

• Check your passport against the current visa-free list and, if a visa is needed, apply early through evisa.gov.ge with an invitation letter from your Georgian host.
• Pick the right airport: Tbilisi for most conferences, Kutaisi for low-cost European links, Batumi for coastal events; confirm seasonal schedules before fixing dates.
• Budget a private transfer rather than a taxi queue for arriving delegations; fixed rates start at €45 for a Tbilisi airport sedan transfer.
• Shortlist hotels with in-house meeting space early, since Tbilisi’s main conference hotels and Batumi’s seafront venues book out well ahead in spring and autumn.
• Build one wine-country day (Kakheti) and, if the season allows, one mountain day (Gudauri or Kazbegi) into any multi-day incentive; both work as half-day or full-day formats.
• Check mountain road status before scheduling a Georgian Military Highway excursion between December and March.
• Ask for a written MICE proposal; G Tour delivers one within three working days of a brief, covering venue, transport, guiding and the closing dinner in a single invoice.
