Group and corporate booking terms

For groups the booking conditions apply with these additions, agreed in a signed proposal before anything is paid.

Proposal and contract

You receive a written programme, a per-person and total price in EUR (USD or GEL on request), the hotel list and these terms. The contract is with Sheni LLC and is signed by both sides; a VAT invoice is issued.

Payment

• Deposit 20 % on signature; 50 % at 60 days before arrival; balance 30 days before arrival. Later bookings pay in full on signature.
• Bank transfer (SWIFT/SEPA) or card link; the payer bears transfer fees.

Numbers

The price is based on the agreed group size. A reduction of up to 10 % of participants up to 30 days before arrival is re-priced without penalty; larger reductions or later changes are charged at the cancellation scale below. Additional participants are welcome subject to seats and rooms.

Cancellation scale for groups

• More than 60 days before arrival: full refund less non-recoverable costs already paid to suppliers (stated in writing).
• 60–31 days: 50 % refund.
• 30–15 days: 25 % refund.
• Under 15 days: no refund.

We cancel only when we cannot run the programme safely or lawfully; then you receive a full refund or an alternative, as in the cancellation policy.

Responsibilities

The organiser gives us a participant list (names, nationalities, dietary and mobility needs) 14 days before arrival and a contact person reachable during the event. Each participant must hold travel insurance meeting Georgian requirements. Damage caused by a participant is charged to the organiser.

Conferences and incentives

Venue hire, audio-visual equipment, interpreters and speakers’ fees are listed separately in the proposal; changes requested less than 14 days before the event are charged at cost. See groups, incentives and conferences.
